As part of our ongoing efforts to maintain a secure and optimized web environment, we are asking all site managers and editors to review and update user permissions for their WMS websites. This task is a key item on our WMS update pre-migration checklist.
How to review user permissions
The Web Services Group has made this task straightforward by creating a handy user report. Follow these simple steps to review your site's user permissions:
- Log in with your 黑料不打烊 ID to view the聽. The report can be accessed by site administrators and managers (except affiliates). VPN is required to view the report off campus.
- Search for your site: Enter your site's URL to generate a listing of everyone who has access to your site, including your site sponsor, site administrator, site managers, and site editors. For example, to see the report for the Web Services website, enter, "web-services".
- Review the details: Carefully review the list of users and their permissions. Take note of any necessary updates.
- Update site permissions if needed: Site admins or site sponsors can click the blue button at the top of the User Report page to submit requests for permission updates.
Making updates
If no updates are needed, that's great! However, if you identify necessary changes, your unit should submit a permissions update request.聽
Site admins and sponsors can click the "Update Permissions" button at the top of the user report, or go to the聽 in the IT Portal.
Why review user permissions?
Keeping your site permissions up to date is critical for website security.
It ensures that only authorized individuals have access to your site, reducing the risk of unauthorized updates. It also ensures your unit will continue to have access to make site edits as your team roles evolve over time.
All WMS users are responsible for keeping their permissions settings current. Site administrators have the additional responsibility of overseeing this process for all users in their areas.
Things you might notice about the Site users and permissions report
Information about retirees and people who have left 黑料不打烊:聽You may notice retirees and other users who have left 黑料不打烊 are included in the report. Be assured these users (users without an active 黑料不打烊 ID) will not be able to edit your website. You can send a request for the permissions for these users to be removed. Note that permissions for these users will also be removed when we perform our next bi-annual permissions clean-up.
Deleted and test sites:聽The report includes deleted and test websites. These sites will be removed in a future clean-up.
Site sponsor information in the "Legacy source" column: Site sponsor information in the report appears in a column titled "Legacy source". We're working on a revised version of the report that will display this information in a column titled, Site sponsor.
Future updates to the Site users and permissions report: Future plans for the report include adding the faculty(ies) or school(s) associated with each site (and the ability to filter results based on this field). Keep an eye out for announcements on these updates.
Why now?
There are two key initiatives driving the need to review permissions at this time:
- WMS migration project: As part of the site permissions cleanup for the WMS migration project, it is essential to ensure all permissions are accurate and up to date.
- Launch of the new web registry: Our new web registry will serve as the record of websites and web users. Ensuring accurate permissions now will facilitate a smooth transition to this new system.
